768. Woodside Hall, Church Warsop
Cllr Kerr asked members if the Parish Council would consider moving to Woodside Hall. Neil Turton (MDC) has spoken to him regarding the future of Woodside Hall and if the Parish Council would be interested in it being transferred to them, if the District Council were to spend the money on repairing it.
A discussion took place covering different options and what the advantages and disadvantages are.
RECOMMEND: Cllrs Kerr and Burgin to investigate the matter by speaking to officers at MDC and look at the Homesteads as another option.
769. Legionella Risk Assessment
The Legionella Risk Assessment is due for the Town Hall; three quotes were obtained.
RECOMMEND: To accept the quote from Second Element as they do the monthly checks and they offered the best value.
770. Parish Projects (Cllr John Kerr)
Cllr Kerr asked what the Parish Council could do for the Parish of Warsop. Other Parish Councils take services form their District Councils and are given financial support to do so. He wanted suggestions of what the Parish Council could do with a limited budget.
RECOMMEND: To add this item to the public consultation so the public can make suggestions but make financial limitations clear.
771. Mobile Phone
The Clerk mentioned an idea that Cllr Kerr had about a mobile phone for Parish Council staff if they have to work from home. A mobile phone will allow the public to contact the council if the Town Hall is closed due to staffing and covering issues, during the 9am-3pm working hours.
RECOMMEND: Cllr Kerr to provide the Clerk with his old mobile phone and buy a new sim card for it.
772. Employment Contracts/HR Services – CONFIDENTIAL ITEM: Exclusion of Public
In accordance with Public Bodies (admission to meetings) Act 1960 section 1 (2) the Council exclude the public and press from the meeting by reason of the confidential nature of the business to be transacted. This item will be discussed at the end of the meeting.
773. Data Protection Policies
The new Data Protection rules will take effect from 25th May. The Council must show that it is making the necessary changes required. NALC have given the Parish Council templates of new policies and the correct amendments have been made. The Data Protection rules have not been finalised yet and when they are, the Clerk will update the council with the necessary documents.
The Clerk asked what changes need to be made when dealing with Warsop Infotech’s course bookings and documents.
Cllr Burgin suggested the Parish Council shouldn’t be keeping Warsop Infotech’s data.
RECOMMEND: To approve the policies subject to changes that may occur when the Data Protection rules are finalised and if a Data Protection Officer is required, offer the position to Gemma Blagg (Assistant to the Clerk) with an increase in pay to reflect the new role.
A Cllr speak to Mike Johnson (Warsop Infotech) and inform him of that the Parish Council can no longer store Warsop Infotech’s data.
774. Any Other Business
Cllr Burgin asked if the Town Hall car park could be tidied up and weeded. Residents have complained to him about it looks.
RECOMMEND: To ask Acer Grounds Maintenance for a quote for the work and retrieve another 2 from other companies.
Three quotes were retrieved for works to the roof above the clock.
RECOMMEND: To accept D.W. Construction as they completed roof repair work in April and they offered best value for money.
These will be presented to Full Council on 21st May 2018.
